Multi-function devices may, on first analysis, appear to be an attractive option but you should be aware of the disadvantages of a multi-function devices. The advantages are very much promoted by the smart sales representative but you should be careful to ensure that what you get fits your work environment. One drawback, for the many services that could be used, is the frequency of use. Conflict could arrise in the office if a multitude of employees need to use the device at once. For example, the hardware might be tied up with a fax and unable to print, or scan.

Also to take into consideration would be the total cost of operation. Full scale office copiers usually have high volume and low cost consumables. Ten thousand copies from such a machine would cost the same as 500 from a multi function device. Full scale copiers often come with many trays to meet diverse printing needs without manual changes of media.

On the whole, although small home offices of one or two could benefit from having “everything” in one devise, it is most practical to utilize a printer for output, while leaving the input to stand alone devices.
